All hands at the pump!

Clare Runham

Have a huge workload but not the capacity to handle it? That’s where Miss MPS swoops in to help for our clients. One of our Virtual Assistants – Suzy King – shares how we helped on a project for one of the world’s largest companies.

Whether its staff being on holiday, or a project deadline looming, we often step in to help clients to boost resource.

Recently, we had a real challenge as a client had to complete work for one of the world’s largest players in the oil and gas market, but they simply didn’t have enough time to get all the work done with the staff available. However, with a deadline agreed, it had to get done!

Simply in principle, we had to transfer a huge library of digital media across to a new content management system. Sounds simple? Believe me, it wasn’t!

First of all, we had to get our head round a complex file structure and then ensure it was replicated on the new content management system. We then had the small matter of downloading thousands of files, many of them sizeable videos.

Going the extra mile

Frustratingly, we could do nothing whilst files were downloading. Conscious of the looming deadline, more Miss MPS team members were drafted in, and we set up overnight downloads. As a result, we were more productive and wasn’t charging the client for wasted time drumming our fingers, waiting for downloads to finish.

With our broadband in our East Malling office struggling under the strain, we even reverted to downloading from home and using hard drives to transfer files so we could work as quickly as possible. It also meant other clients would not be disrupted as we are relied upon to take calls using an internet-based VOIP phone system.

Resource when you need it

Whilst there are many Virtual Assistants out there, for this job we really showed the value of having multiple staff; virtually a unique attribute in our marketplace. Not only does it mean we have the variety of talents to suit particular jobs, it means clients can really lean on us to get the work done when short deadlines are in play.

I’m delighted that we got the opportunity to show our worth with such a time sensitive project. As we often preach within our blogs, it also meant our client could get on with other work requiring their attention whilst leaving a time-sapping, admin job to us – it is pretty much the perfect case study of why small businesses should use us!

Miss MPS provides on demand admin assistance on a per-hour or per-project basis. See other examples of how we help small businesses by browsing our Services page. Have something in mind? Get in touch!

Ah, winter. The season of cozy jumpers, steaming mugs of tea and, for gas engineers, the annual game of heating roulette. The moment that first cold chill hits, homes across the nation come alive with the sound of boilers groaning back to life—or not. Phones ring off the hook as panicked voices fill the line: "My heating won’t turn on!" or the classic, "It’s making this weird clunk-clunk-wheeeze sound—can you fix it today?!" For gas engineers, this is peak season—a chaotic storm of urgent calls, overflowing job lists, and the impossible task of answering the phone while also diagnosing a misbehaving boiler. But who’s answering your calls when you’re knee-deep in radiators and wrenches?

Chilly toes, waking up early to defrost the windscreen, and leaving work to the already dark skies—these are just a few of the frustrations that come with winter. While it may not be the end of the world, it's all the little things. And despite the festivity and Christmas songs playing on the radio, staying motivated at this time of year can be challenging. I'm sure many of you can relate to me when I say this. At Miss MPS, we understand how important it is to maintain well-being, especially during the busy winter months. As virtual assistants, we support our clients by alleviating stress from overwhelming workloads and tight deadlines. We also help them take well-deserved breaks and spend time with loved ones. However, looking after ourselves while caring for others is just as essential. Here are my top tips for staying healthy and motivated this winter:
